Cancellation policy

We strive to provide our guests with an exceptionally clean, safe and friendly experience.

The following hotel policies and procedures have been established based on industry standards, management and operational procedures and our personal experience as owners and operators of Hotel St Pol since 2005.

Any booking after his confirmation has the value of acceptance the contract according to the Belgian Law.

As we are a small hotel, mate cancellations and no-show bookings really affect our business, so our deposit and cancellation policy is as follows:

Strong Customer Authtentication (SCA)

In 2019, the European Union (EU) adopted a new legislation under the Payment Service Directive (PSD2) to reduce fraud and make transactions more secure for online businesses located in the European Economic Area (EEA).

A part of this legislation – Strong Customer Authentication (SCA) – requires all online businesses, to implement more thorough authentication measures on transactions when both the cardholder and the business’ bank are located in the EEA.

These measures ensure that the customer (in this case, your guest) is the right card owner. If no SCA is provided, banks are legally required to decline the payment.

Strong Customer Authentication means that your guests’ identity will need to be verified in a thorough manner. In other words, the guest needs to prove that they are the card owner by using two of the three methods* of authentications shown below:

Something that the customer knows (password or PIN),
Something he has (phone)

Something he is (fingerprint)

Guarentee

All bookings must be guaranteed, depinding on the case and the rate chosen, by credit card, deposit or prepayment of the stay.

Pre-Autorisation

The hotel reserves the right to verify the validity of the specified credit card under Standard Rate prior to arrival by pre-authorizing this card.

With the pre-authorization, the hotel guarantees the temporary availability of the amount.

The amount is not debited. this is not a payment

The pre-authorization will automatically expire after 14 days and the amount will be released automatically, depending on the banking institution and card type.

In case of pre-authorization with a negative result, the customer will be notified, and the reservation will be canceled.

In this case, the hotel has no obligations to the customer.

Cancellation directly with the hotel

Cancellations by us can only be accepted by mail,
we cannot accept cancellations by phone.

Standard Rate

  • No costs up to 14 days before arrival
  • 25% of the total stay; from 14 to 7 days before arrival date
  • 55% of the total stay; from 6 to 2 days before arrival date
  • 100% of the total stay; 1 day, arrival date, no show or shortening during stay.
  • In case of a no show, the customer cannot claim the remaining nights of the reserved stay
  • Any remaining rental balance and other extras must be paid on the spot, upon leaving the hotel.

Non Refundable Rate – Prepaid

If you choose this advantageous rate, the full amount will be debited.

It is in no way possible to change or cancel this reservation.

The full amount will never be refunded.

The specified credit card was debited on receipt of your booking for the total room price.

In case of a no show, the customer cannot claim the remaining nights of the reserved stay

Any remaining rental balance and other extras are to be paid on the spot upon leaving the hotel.

Modification reservation

Any changes must be requested in writing by e-mail at the hotel, according to the cancellation policy.

Shortened during stay

In case of early check-out, the hotel has the right to charge the total amount agreed at the time of booking.

Cancellation through third party compagny, ota’s

Cancellations made by a third-party company cannot be processed personally by us. U must cancel your reservation through the third – party company. Either with the received link in their confirmation or take contact with their customer service.

Booking.com – Standard Rate

  • No costs up to 14 days before arrival
  • 100% of the total stay from 14 days before arrival
  • 100% no show or shortening during stay
  • In case of a no show, the customer cannot claim the remaining nights of the reserved stay
  • Any remaining rental balance and other extras are to be paid on the spot upon leaving the hotel.

Booking.com – Non Refundable Rate – Prepaid

Expedia group – Non Refundable Rate – Prepaid

If you choose this advantageous rate, the full amount will be debited,

It is in no way possible to change or cancel this reservation.

The full amount will never be refunded

In case of a no show, the customer cannot claim the remaining nights of the reserved stay

The specified credit card was debited on receipt of your booking for the total room price

Any remaining rental balance and other extras are to be paid on the spot upon leaving the hotel.

Force Majeure

Force majeure, is a legal term that indicates a non-attributable impossibility to fulfill an obligation

Standard Rate reservations are canceled free of charge

For Non-Refundable – Prepaid reservations a voucher will be provided for the value of the prepaid reservation for a next stay directly at the hotel.

Prices

Mentioned prices are subject to errors or a clearly differt price. In this case, the hotel has the right to cancel the booking.

Payement methods

Cash, Credit Card, Bank Card, Ecocheques, Hotelvoucher, Vlaanderen Vakantieland cheques.

Deposits

Advances will not be refunded under any circumstances.

Advance payment of non-refundable rates will not be refunded under any circumstances. Depending on the cancellation policy of your reservation, the hotel will provide a voucher for a next stay directly with the hotel.

Vouchers

All vouchers are non-refundable and cannot be exchanged for cash, in part or in full.

Vouchers can only be redeemed for new telephone reservations.

When making a reservation, holders must identify themselves as a voucher holder and state the voucher number at the time of the reservation.

All vouchers must be printed and shown on arrival at the hotel.

In case of abuse, the hotel reserves the right to refuse the voucher.

Check In: 14:00 – 20:00 hours

Check Out: 08:00 – 11:00 hours

Child policy:

  • Maximum 1 child in the parents room.
  • 0 – 2 years old: free (including breakfast)
  • 2 – 12 years old: EUR 25 per child per night (including breakfast)
  • By request and depending upon availability. Please note that the above mentioned rates are not automatically calculated in the total costs specified in the booking confirmation.

Accepted credit cards:

  • Visa, Euro/Mastercard, Carte, MaestroThe hotel reserves the right to pre-authorise credit cards prior to arrival.

Booking a hotel with a credit card: how does it work?

Booking a hotel with a credit card offers many advantages. For example, you are protected against fraud because your credit card provider monitors payments 24 hours a day. If fraud is suspected, action is taken quickly and you are contacted.

Also, many credit cards come with purchase insurance or a delivery guarantee module. This means that you are entitled to a refund of your money if the hotel goes bankrupt unexpectedly.

But how does booking a hotel with a credit card work?

Acceptance

It is still very difficult to book a hotel without a credit card, especially when booking through the well-known booking sites, such as booking.com and Expedia. The vast majority of hotels at home and abroad can only be booked with a credit card. In the Netherlands, too, a credit card is required at over three-quarters of all hotels.

Booking without a credit card therefore severely limits your options. In addition, if you book without a credit card you often have to pay immediately (in advance), while with a credit card you usually only have to pay afterwards. That is much more pleasant.

How does a hotel booking work?

But how exactly does booking with a credit card work? Many hotels use their guests’ credit cards to guarantee a reservation. When booking a hotel room or apartment, the accommodation or tour operator will ask for your credit card information. But what happens once you forward these details and the booking is completed?

There are four possibilities:

1. Confirm reservation, pay afterwards

The hotel initially uses your credit card information only to confirm the reservation and to get some guarantee that the room will eventually be paid for. No amount is charged to the credit card yet. This usually only happens upon check-out or after the free cancellation period has expired.

If you cancel the booking late or don’t show up, the room rate will still be charged (partially) to your credit card account.

2. Confirmation of reservation and payment

The hotel uses your credit card information to confirm the reservation and then debits part or all of the amount for the booking from the credit card.

3. Prepayment

If you book through a travel agency, you will sometimes be asked to make an advance payment. A portion of the room price will then be charged to your credit card (well in advance) before you check in. This creates a certain security of payment for the hotel.

If you don’t show up or cancel too late, the amount due can easily be charged to your credit card. At some hotels, the full amount is even charged to the credit card in advance.

4. Pre-authorization (reservation).

The hotel will carry out a pre-authorization of the card on receipt of the reservation/booking. A certain amount is reserved on the credit card. This means that a certain deposit amount is reserved on the credit card (nothing is charged). This is done because it is not known in advance exactly how much you will spend in the hotel, but the hotel does want to have a certain degree of payment security.

For example, you will eat in the hotel restaurant or use room service. It is also possible that you (accidentally) destroy something in the room. All these costs will be deducted from the deposit and, if necessary, from the credit card afterwards.

How long will a reservation last?

Amounts reserved on your credit card will temporarily reduce your spending limit. Our hotel takes 6 days prior to arrival and reservation for the price of the first night’s stay. Upon arrival, this reservation is immediately removed from the card at midnight. However, there are banks that leave the reservation fixed for a longer period, then it is sufficient to ask us for a proof of the release and forward it to the bank.  If a reservation is not converted into a payment, it will automatically expire after 20 days. Nothing will be debited. It is not possible to manually delete a reservation.

Has the reservation been converted into a payment, but is this incorrect? Then you can request a refund (claim). Please contact your credit card provider.

Prepaid credit card

Sometimes it is not possible to book a hotel room with a prepaid credit card. Your credit card provider can inform you about this. Sometimes it is necessary to purchase a regular credit card or to move to a hotel where you can pay with paypal or iDeal.

If you still want to use a prepaid credit card, it is advisable to choose a card that in terms of functionality is very similar to a normal credit card. You can often read about this in the terms and conditions of the credit card.
